Membership ending procedure
You can end your membership at any time, provided you inform the board a month ahead of time.
If you do, then please follow the following steps. Please don't just stop paying and go on radio silence, this makes it harder to the board, and they might ask you to pay dues if you ever want to rejoin (about 3 month worth of fees, since that correspond to how long we send payment reminders for before suspending).
This procedure also applies if the membership is terminated by the board for whatever reason.
Tasks for the member
- Most important: Send an email to admin@board.techinc.nl. Since there is a one month notice, you're still expected to pay for the month following your notice, so do it ASAP! (Rules mention you are still obligated to pay for the full year but in usage we only ask for the notice month – we should probably make the rules reflect this explicitely). Please mention:
- When you intend to return you fob (if you have one), and your IBAN for the reimbursment (see below)
- When you intend to retrieve your belongings in the space (e.g. member box), or confirm that it can be repurposed, or that you don't have any.
- The reason for why you're stopping (optional but we'd appreciate knowing, especially if it has to do with the space itself)
You then still have one month to do the following at the space (or later when the space is open, such as the Wednesday social evenings):
- Return your fob (if you have one), you can get your money back and makes it easier for the board
- Go to the space, locate the safe (under the revbank terminal). On the left, take a mini-form and fill it with your name a tick "fob return". Put it in an envelope (also on the left) with the fob (don't seal it), and put the whole thing in the opening of the safe. Send your IBAN in your communication with the board so we can reimburse you to the amount you paid the fob for - cost for eventual damage.
- If you can't return it: let the board know.
- Take back your stuff. Notably, the content of your member box, if you have one. Make sure to remove your label on it, or if you're in a hurry, just overlay it with an empty label. If you don't do that, after a while anything that stays will become space property or thrown away, even if there is a label with your name on it!
- Settle your revbank account.
- If in you're in the green, then you're good. The board can't give real money in exchange for revbank money, but you can keep it for potential next visits or donate it (to a friend or the special `+board` account).
- If you're int the red, please top up until you're at 0. If there is still debt remaining, it will be deducted from your fob reimbursment, or added to the things you owe the space before you can become a member again.
- Only accounts at exactly 0 will get cleaned up.
Task for the board
On email receival:
- Inform about the steps that may have been missed by the member (above)
- Confirm effective membership termination date
- Check revbank status, inform if negative
- Compute expected membership fees, and communicate if any
- Add membership end date to Tinance
- In payment sheet, blank months past termination date
When fob returned:
- Reset code to <whatever the default is for new member>
- Reimburse if IBAN has been provided
Past the membership termination date:
- Mark membership and relation as inactive in Tinance
- Disable fob if not returned
If fob still returned after a while:
- Ask Urban Resort to disable it (do it in batches because they charge administrative fees...)
